This policy explains what personal information we collect, how we use and share it, and the choices and rights you have.

This Privacy Policy describes how Mark The AI Office Manager, LLC ("Mark AI," "we," "us," or "our") handles personal information. It covers two situations: (a) information we collect from visitors to our website at getmarkaioffice.com, and (b) information we process when we provide our office-manager service to a business customer.
When we provide the Service to a business, that business decides what data goes into the Service and why. In that role we act as a service provider processing information on the business's behalf, and we use that information to provide the Service — not for our own independent purposes. If you are a customer or prospect of one of those businesses, please direct privacy requests to that business; we will assist them as required.
When you visit the Site or book a demo, we may collect the name, email address, business name, and any details you choose to provide, along with technical information such as IP address, browser type, and pages viewed.
When a business uses Mark AI, the Service may process information that flows through a business's front office, which can include caller and customer names, phone numbers, email addresses, service addresses, job and appointment details, call audio and transcripts, text messages, and related records.
The Service may record, transcribe, and analyze phone calls in order to answer calls, build estimates, book jobs, and improve quality. Call-recording and consent laws vary by state, and some states (including California) require that all parties be notified. Businesses that use the Service are responsible for providing any legally required notice or disclosure to callers. Where we record on a business's behalf, we do so as that business's service provider.
The Service can send and receive text messages and place outbound calls on a business customer's behalf. The business directs who is contacted and is responsible for having the consents required by the TCPA and other applicable laws. Recipients can opt out of text messages at any time by replying STOP, and can opt out of calls by asking not to be contacted.
We use information to operate, provide, secure, and improve the Site and the Service; to respond to inquiries and demo requests; to communicate with you about your account; to detect and prevent fraud and abuse; and to comply with our legal obligations. We do not use the personal information processed through the Service for our own advertising.
We share information with service providers and subprocessors that help us operate the Service — for example, telephony, messaging, speech-to-text, hosting, scheduling, and field-service-management providers — under contracts that limit their use of the information to providing services to us. We may also share information to comply with the law, enforce our agreements, or protect the rights and safety of users and the public, and in connection with a merger, acquisition, or sale of assets. The Site may use cookies and similar technologies to remember preferences and understand how the Site is used. You can control cookies through your browser settings. Some features of the Site may not work properly if cookies are disabled.
We retain information for as long as needed to provide the Service and for legitimate business and legal purposes. When we provide the Service to a business, retention of the data flowing through the Service is governed by our agreement with that business; we delete or return that data as required when the engagement ends or on the business's instruction.
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
Depending on where you live, you may have rights to access, correct, or delete the personal information we hold about you, to request a copy of it, to opt out of certain processing, and not to be discriminated against for exercising these rights. California residents have specific rights under the California Consumer Privacy Act as amended (CCPA/CPRA), including the right to know, the right to delete, the right to correct, and the right to opt out of the "sale" or "sharing" of personal information.
To exercise a right, email support@markaioffice.com. We will verify your request before acting on it. If your information was processed by us on behalf of a business that uses the Service, we will direct your request to that business or assist them in responding.
We do not sell personal information for money. If we ever engage in activity that qualifies as a "sale" or "sharing" under California law, you can opt out using our Do Not Sell or Share My Personal Information page, and we will honor Global Privacy Control (GPC) signals where required.
The Site and Service are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice.
